Office of the Controller of Examinations

How the Portal Works

A complete, step-by-step explanation of the Result Processing System. From Admin upload to Student OTP.

1

Data Upload Admin

Everything starts here. The Admin prepares the result data in a specific Excel format and uploads it to the server.

Excel File
Upload
Database (Unverified)
2

Verification COE / Evaluator

The system is secure. Raw data cannot be published immediately. The COE (Evaluator) must log in and verify the results.

They can edit grades if there are mistakes, check specific subjects, or bulk verify entire departments. Once 100% verified, they click "Submit to Principal".

3

Access Control (Status) Office

While results are being processed, the Office staff can control who gets to see the result. This is the "Status" flag.

Status = Yes (Student can login)
Status = No (Blocked: "Contact Exam Cell")
4

Publication Principal

The Principal reviews the final analytics (Pass %, Department Stats). When satisfied, they click the "Publish Results" button.

This flips the global switch. Before this button is clicked, NO student can log in.

5

Student Login (OTP Flow) Student

This is how students access their results safely:

  1. Student enters Register Number & Date of Birth.
  2. System checks: Is result published? AND Is DOB correct? AND Is Status 'Yes'?
  3. If all Good → System generates a 6-digit OTP.
  4. OTP is sent to email: {RegNo}@msajce-edu.in.
  5. Student enters OTP to unlock the Dashboard.
Why OTP? To prevent friends from checking your result!

Excel Format Rules

The uploaded Excel file must have these exact column names:

Column Example
Registration Number 311821104001
Date of Birth 2003-05-15
Subject Code CS3501
Grade O, A+, U, UA
Result Pass, Fail
Credits 3 or 4

The Math Behind It

GPA Calculation:

GPA = (Sum of (Credits × Grade Points)) / (Total Credits)

O=10, A+=9, A=8, B+=7, B=6, C=5.
U, UA, WH, WD = 0 Points.

Ranking Logic:

  • College Rank: Your position among ALL students in college.
  • Batch Rank: You vs. everyone in your Semester (All Depts).
  • Dept Rank: You vs. everyone in your Dept (All Years).
  • Class Rank: You vs. your specific Classmates.
